Summary: The Facilities Manager is responsible for facilities
management of all Credit Union-owned and leased sites, mainly
related to capital operations and maintenance, preventative
maintenance, construction, and supervision of facilities safety and
governmental compliance. Develops and implements facility-related
policies and procedures and ensures that all operations follow
established health and safety regulations. Furniture, equipment,
and services purchased are of acceptable quality at the least
possible cost. Keeps Senior Management well informed of area
activities and significant problems. Coordinate any ad hoc
facility-related projects, such as managing moving departments,
remodeling work, and building out of branches.
Essential Duties and Responsibilities: The requirements below
represent the knowledge, skill, and/or ability required but may not
be all-inclusive. Additional functions and requirements may be
assigned by supervisors as deemed appropriate.
- Assumes responsibility for the planning, development, and
implementation of adequate facilities policies, procedures, and
planning - Ensures the security of all credit union facilities.
Conducts scheduled inspections of security and fire protection
systems and implements improvements as necessary - Responsible for
scheduling appropriate preventative maintenance tasks for equipment
and all other building systems that will maximize the life of the
equipment and keep it in efficient working order - Manages the
process for all Foothill construction projects, branch
construction, branch remodels and maintenance, headquarters tenant
improvement projects, and any other construction ad hoc projects. -
Manages vendor relations - ensures all vendor files are up to date
with insurance requirements, handles service complaints/issues, and
ensures compliance with contract documents - Coordinates routine
service requests and repairs to all branch facilities, including
HVAC systems, electrical issues, plumbing issues, flooring,
lighting, painting, and non-computer equipment through internal
resources or third parties - Collaborates with the CTO on annual
operations/capital budget planning and management processes,
including expense forecasts, based on efficient use of resources
and sound planning management parameters - Completes semi-annual
ADA inspections and updates monthly reports as appropriate -
Coordinates Fire, Life, and Safety (FLS) testing and compliance in
all Foothill facilities - Maintain master schedule of
conference/board room and ensure room setup is made as requested -
Monitor janitorial company and supplies and perform any additional
janitorial services during business hours - Oversee the overall
maintenance, repair, and cleanliness of all locations and
buildingsRequirements: Experience/Education Requirements: - High
School degree or General Education Degree (GED) - A four-year
college degree preferred - Minimum of four to six years of related
experience - Excellent understanding of facilities management
procedures - Knowledge of budgeting, service contracts, and leasing
agreements - Experience performing facilities repairs (lighting
fixtures, plumbing, painting, etc.)
Other Skills and Abilities: - Excellent word processing skills:
Word/Excel, PowerPoint, Outlook (or other scheduling software
equivalent), and MS Project - Ability to maintain a high level of
confidentiality and trustworthiness; ability to use discretion when
handling confidential information - Strong oral and written
communication skills - Proven ability to interact, communicate, and
maintain excellent/effective working relationships with all team
members, members, and vendors and to use good judgment in
recognizing the scope of authority - Strong problem-solving skills
- Must be able to travel within the branch network regularly. -
Must have a method of transportation when needed to carry out
essential job-related functions; if operating a motor vehicle, must
have a valid driver's license and proof of at least minimum
automobile insurance coverage as required by the State of
California. - Sitting, standing, walking, driving, lifting up to 50
lbs, including pulling/pushing, reaching, cleaning.
